Altai Systems delivers association-specific CRM software built on top of Microsoft Dynamics 365 CRM using the Power Apps suite of tools. We have an exciting opportunity available for a talented Senior Project Manager to join our Professional Services Team.

The Senior Project Manager position is the ideal role for an experienced, detail-oriented, collaborative business leader that craves project success.

Job Responsibilities:

  • Client Research
    • Work with the Sales team to gather detailed knowledge about a new client, their requirements, and how our proposed solution will best meet their needs.
    • Conduct independent research to become intimately familiar with the client’s business, beyond what was provided during the sales process.
    • Coordinate internal transition meetings between the Sales team and the Project team to ensure all resources are well prepared to begin the engagement.
  • Project Kickoff and Discovery
    • Lead a project kickoff meeting to ensure all teams are well aligned and prepared for next steps.
    • Coordinate a thorough discovery and requirements analysis process to help our team understand the client’s business needs, goals, and objectives.
  • Documentation and Implementation
    • Review the requirements matrix and gap analysis documents created by Altai’s Business Analyst.
    • Review business process specs, user stores, use cases, and test criteria for agreed upon requirements (base and custom).
    • Present project documentation to client team for sign-off.
    • Collaborate with Business Analysts and the Development Manager to convey any custom requirements to internal project teams.
    • Work with clients to develop new best practice business processes that fit Altai’s software, out-of-the-box.
  • Project Planning and Management
    • Identify the appropriate internal project resources based on skillset, availability, and general fit to allocate to each project.
    • Assign and manage resources through our internal PSA system in accordance with project needs and individual utilization goals.
    • Create and maintain detailed project plans, status reports, and budget reports for clients on a regular basis.
    • Collaborate with various team members across Professional Services and Development to formulate any additional estimates required.
    • Ensure all client communications are clear, timely, and informative.
    • Ensure excellent customer service throughout all aspects of the project.
    • Maintain personal accountability for the health and success of each project; keep management abreast of any challenges or needs for additional support.
    • Ensure all projects are completed on-time and within budget.
  • Testing and Quality Assurance
    • Review all deliverables for compliance with client requirements.
    • Ensure all deliverables are thoroughly tested by Altai’s testing team.
  • Project Close-Out and Retro
    • Perform a detailed project retro at the close-out of each engagement.
    • Provide reporting to management on successes, challenges, and lessons learned.
    • Provide the Sales team with a detailed financial report for comparison against original estimates.
  • Account Management
    • Maintain relationship with clients post-launch.
    • Provide proactive updates to clients regarding new features, fixes, upgrades, etc.
    • Identify opportunities to grow Altai accounts through upsells and enhancements.
    • Work to maintain client referenceability throughout the life of each client relationship.
  • Mentoring
    • Provide mentoring and guidance to newer Project Managers.
  • Task Tracking
    • Maintain accurate time and task tracking records on a weekly basis for reporting and billing purposes.
    • Maintain accountability for personal billability goals (36 hours / week).
  • Ensure all documented processes and procedures are followed.

Skills Required:

  • 5+ years of experience managing large, intricate software implementation projects.
  • 5+ years of experience managing project budgets in excess of $250K and timelines in excess of 12 months.
  • Keen ability to assess and mitigate project risk.
  • Extensive experience managing change control.
  • Ability to manage multiple competing projects, priorities, and tasks simultaneously.
  • Excellent oral and written communication skills; ability to communicate effectively with C-level executives.
  • Ability to translate highly-technical concepts into plain language for non-technical stakeholders.
  • Ability to motivate cross-functional teams while driving progress to meet critical deadlines.
  • Highly skilled as a player-coach.
  • Passion for excellence in user experience and customer satisfaction.
  • Excruciating attention to detail and a passion for thorough documentation.
  • Advanced skills in Microsoft Excel, Project, and Word.
  • Moderate to advanced skills leveraging Jira to manage tasks.
  • Experience managing Microsoft Dynamics and/or Association Management System (AMS/CRM) implementations is desirable.
  • Experience within the association industry is desirable.
  • PMP Certification is also desirable.
